The Exchange TRX is a 17-acre integrated development set to become one of Asia’s leading lifestyle hubs. The mall is a 1.3 million sq ft of next-generation retail space will include a 10-acre rooftop park.
We are looking for build our mall team and would like to invite aspiring individuals to apply for the following role:
Admin and Operations Manager (The Exchange TRX)
The Admin and Operations Manager is a key managerial role responsible for overseeing various aspects of the financial and administrative operations in a retail environment:
Responsibilities:
Retail Debt and Abatements Management:
  • Monitor and manage retail debt collection, including coordinating with tenants to ensure timely payments.
  • Review and process abatement requests in alignment with the Retail Manager's tenants and company policies.
  • Implement strategies to minimize outstanding debt and maintain positive tenant relationships.
Other Income – Pop Up / Carts:
  • Assist in admin of CML Other Income
  • Monitor and managed the retailer casual mall debt collection, in support of the Other Income Team
  • Create the admin lodgement preparation for all Other Income deals in the system
  • Assist the team with Adhoc processes as and when required
Tenancy Delivery and Surveys:
  • Coordinate and conduct surveys to gather feedback from tenants, analysing data to identify areas for improvement.
Forecasting/Budgeting:
  • Collaborate with relevant stakeholders to create comprehensive budgets and forecasts.
  • Monitor income, abatements, turnover rent, Net Operating Income (NOI), and administrative accounts to maintain financial targets.
  • Compile and analyse financial data for monthly reports.
  • Provide insights into debt components and trends for decision-making purposes.
Monthly Rent Roll:
  • Generate and review the monthly rent roll, ensuring accuracy and completeness.
  • Prepare the Critical Info Report, track lease and abatement tasks, process tenant recharges, and review the rent roll with commentary for approval.
  • Monitor the vacant unit report and implement strategies to minimize vacancies
  • Ensure cash control and conduct monthly reconciliations for Concur expenses and petty cash transactions.
Operational Support:
  • Monitor General Ledger (GL) accounts and Open Purchase Orders (POs) against budget.
  • Provide reports to the Operations team to assist in budget management and reduce potential overruns.
Requirement:
  • Bachelor's degree in Business Administration, Finance, Accounting, or a related field. A master's degree is preferred.
  • Proven minimum 5 years experience in retail financial management, audit coordination, and administrative oversight.
  • Strong knowledge of budgeting, forecasting, financial reporting, and debt management in the retail sector.
  • Experience in lease administration, tenant relations, and facility management is advantageous.
  • Proficiency in financial software and systems, including ERP systems.
  • Excellent analytical and problem-solving skills.
  • Strong communication and interpersonal skills to collaborate with various stakeholders.
  • Ability to multitask, prioritize, and meet deadlines in a dynamic retail environment.
  • Attention to detail and accuracy in financial reporting and auditing processes.
