Your Team:
IB&M Technology is responsible for the IT delivery and IT service management for Institutional Banking & Markets, both onshore and overseas. Our team aligns the individual needs of these business units with the Technology IT platform model. Our purpose is to enable the digital end-to-end customer journey by prioritising our architecture roadmaps for IB&M validated by the business, risk reduction, and workforce management.
Your Role:
As Executive Assistant you will provide support two Executives ( General Manager Institutional Banking Technology and Executive Advisor Strategy Performance) . Your responsibilities will be as follows but not limited to:

Provide efficient, professional delivery of administrative, secretarial and business support to two Executives operating in an exceptionally busy environment
Extensive fast paced calendar management and meeting arrangement with internal and external stakeholders
Inbox and task management for your Executives – continuous review of Executive inboxes throughout the day, managing correspondence, forwarding and escalating where appropriate, diarising deadlines and managing Executives calendar to ensure they have time set aside to meet those deadlines
Ensuring Executives have all relevant meeting materials available prior to each meeting
Working with Executives to establish priorities for meetings and the team
Participation in team meetings – coordinating agendas, minute and actions taking and tracking.
Assist in preparation of meeting packs and materials
Coordinate events
Coordinating international and domestic travel arrangements.
Coordinate with your Executives important organisational initiatives / dates eg. performance review cycles, Inclusion & Diversity initiatives, WHS activities
Processing expenses and invoice approvals
HR and organisational change management support eg. on boarding and recruitment activities, support with organisational change agenda eg. work force modelling.
Additional team assistance as required to the broader team
Provide leave cover for other EAs within the team

Previous Team or Executive Assistant experience
Tech savvy with superior skills in Microsoft Office tools, including MS Teams conferencing
Friendly, approachable and a team player
Positive, can do attitude
Deadline driven with a high attention to detail and confidentiality
Proactive and enthusiastic approach to all aspects of their role
Adaptable, flexible and resilient
Ability to manage workflow, priorities, work well under pressure and be flexible when required to work outside of usual hours to meet deadlines
Exceptional verbal and written communication skills
High level of pragmatic professionalism – face to face, over the phone and through correspondence
